How do wedding and event venues get more bookings?

By Ben Errington, founder5 min read31 October 2026

The short answer: Let people picture their event before they visit, be upfront about price, make it easy to book a viewing or enquire online, and reply quickly. Unity Hall, a Wakefield events and business space, received 404 enquiries through its new website in its first 15 months.

People don’t book rooms. They book the day they can picture.

Choosing a venue is usually the biggest decision in planning a wedding or event, and the biggest spend. Bridebook’s 2026 UK Wedding Report puts average venue hire at £6,040, or £9,695 with catering. With that much riding on it, couples and event planners do their homework. Mostly on their phones. Often late at night. Your website is where most of them decide whether you’re worth a visit.

1. Let them see the space.

Photos of an empty room don’t sell a wedding. People want to imagine their own day: the ceremony set up, the tables dressed, the dance floor full, the light at golden hour.

  • A walk-through film shot on a real event day
  • Drone footage of the building and grounds
  • Real weddings and events, with photos from your best days
  • Every room in every layout, from ceremony to conference

Film does what photos can’t. It captures the atmosphere, the sound and the buzz of a room full of people having a good time. See our video and drone work.

2. Answer the money question.

Price is the first thing most people want to know. Vague pricing sends them to a venue that tells them. You don’t need to publish every number, but a clear guide helps:

  • a “from” price for each package or day of the week
  • what’s included, and what costs extra
  • minimum numbers and peak date supplements
  • deposits and payment dates

Catering matters too. The same Bridebook report found 71% of couples choose venues with in-house catering. If you offer it, make it obvious.

3. Make booking a viewing easy.

Research reported by Statista found that booking online was the most popular way UK couples arranged their first venue viewing in 2024, with email second at just over a third. So give people both:

  • a viewing calendar that shows available slots
  • a short enquiry form asking only for names, date, guest numbers and event type
  • a tappable phone number and WhatsApp link on mobile

Every extra box on a form costs you enquiries. Get the rest of the detail on the first call.

4. Reply before the venue down the road.

People usually enquire with several venues at once. The first warm, helpful reply has a head start. Aim to reply within the hour during the working day, and set up an automatic reply out of hours that sends your brochure and a link to book a viewing.

A CRM makes this easy. Every enquiry lands in one place, gets an instant reply and is followed up until it books, or says no. See CRM and lead tracking.

5. Get found on Google and in AI answers.

People search “wedding venue Wakefield”, “function room near me” or “conference venue West Yorkshire”. More and more of them also ask ChatGPT or Google’s AI answers to suggest a few. To show up:

  • give each event type you host its own page, from weddings and parties to conferences and gigs
  • complete your Google Business Profile with photos, opening hours and event categories
  • ask for a Google review after every event
  • answer the common questions in plain English: capacity, parking, access, catering and licences

That’s exactly what our SEO and AI search management covers.

6. Use directories, but bring people home.

Wedding directories like Hitched and Bridebook can bring enquiries, but they also put you side by side with every competitor. Use them to send people to your own website, where you tell the story your way. Get to know local photographers, florists and planners, and feature them on your site. They’ll recommend you back.

Questions people ask

How do I get more bookings for my venue?

Show the venue on film, publish a clear pricing guide, let people book viewings online, reply within the hour and make sure you show up on Google and in AI answers.

Should venues show prices on their website?

Yes, at least as a guide. People compare venues on price early, and vague pricing sends them elsewhere. A “from” price for each package, with what’s included, works well.

How quickly should a venue reply to an enquiry?

As fast as you can, ideally within the hour. People usually contact several venues at once, so the first helpful reply has the edge.

Are wedding directories worth it?

They can be, as a way to get found. Use them to send people to your own website, where you can tell your story properly without competitors alongside.

What should a venue website include?

A venue film and drone footage, real events, every room in every layout, a pricing guide, online viewing booking, a short enquiry form, reviews and a page for each event type.
